GROUP SALES PLANNER GUIDE

This handy guide will give you all the information that you will need to help you plan the perfect group event. Here you will find information about how to promote your event, group sales policies and procedures and much more! The Group Sales department may be reached by calling 615.770.2046. Our normal business hours are Mon-Fri from 9:00am-5:00pm.

Tell Them About It!

1. Contact a Group Sales Representative for personalized flyers or posters to be distributed to your group members
2. Display event posters and flyers in highly visible areas throughout your organization
3. Mention your group activity in an organizational newsletter or mailing
4. Utilize email, voice mail, and public address announcements
5. Organize a day for your Group Sales Representative to visit your organization to help promote the event
6. Set-up a sales table in a high traffic location
7. Use the Sommet Center seating diagram to show your group members where they will be seated during an event.
8. Make your group members aware of purchasing deadlines

Ticket Ordering Procedures and Payment Guidelines

1. Your group seating locations will be determined by the date you make your group reservation with our department. You will receive the best available seating at the time of your reservation.
2. Group tickets may be requested by emailing groupsales@sommetcenter.com. An Group Sales Representative will contact you to finalize your order.
3. To guarantee the seat locations you are given, full payment is due 30 days after placing the order or by the deadline your group sales Group Sales Representative has given.
4. All group reservations will be cancelled and tickets released to the general public after payment deadline has been missed unless a payment extension has been arranged through the Group Sales Coordinator.
5. Visa, MasterCard, Discover and American Express are accepted. Checks or Money Orders should be made payable to the Sommet Center. Payments can be mailed to Sommet Center · Group Sales · P.O. BOX 24480 · Nashville, TN 37202.
6. Any cash or in-person payments must be made during normal Box Office hours which are Monday-Friday, 10:00 am-5:00 pm. It is recommended to call 615.770.2046 to make an appointment before arriving in-person.
7. A service charge to cover processing may be added to the order.
8. After your original payment has been made, you may increase your order up to seven days from the event. The service charge will be added to each additional order, and tickets will be left at will call only. Additional tickets have no guarantee to be placed near the original order.
9. There are no refunds or exchanges once payment has been received.
10. Tickets will be mailed to you within one week of receipt of payment or delivered by your Group Sales Representative. Arrangements can be made to leave tickets in the Box Office will-call.

Questions and Answers

Nothing can be more frazzling than to have questions and no answers! So we have complied a list of the more popular questions that we receive.

What time do the doors open? Doors will open at least 60 minutes prior to the start of the event.

What time should my group arrive? We suggest that your group arrive no later than 30 minutes prior to the start of the event. If your group has ordered a pre-event reception or a party or plans to eat a meal at the arena, we recommend arriving no later than 45-60 minutes prior to the start of the event.

When do group leaders receive group tickets? When ticket orders have been paid for in full, we will send or deliver them to you within one week of receipt of payment. When you receive your tickets, check to make sure that all tickets are accounted for. How you disperse the tickets is up to you. If everyone in your group is arriving separately, you will need to distribute the tickets in advance. Otherwise, keep all of your tickets and your group together so that an usher may help to seat your group more efficiently.

What if my tickets are lost or stolen? Keep your tickets in a safe place until the event, but if they are lost or stolen, please let us know as soon as possible. If you are distributing the tickets to your group attendees prior to the event, please write down the location of each attendee's seat. This will make it easier for us to replace individual tickets. On a side note, the sun and heat will severely damage ticket barcodes and printing. Please store in a cool place.

What is the minimum age of a child needing to buy a ticket? This varies from event to event, so contact your Group Sales Representative to find out the age minimum for your particular event.

What if I need more tickets? Not a problem! After your original payment has been made, you may increase your ticket order up to seven days from the event. A service charge will be added to your order, and tickets will be left at will call only. Additional tickets have no guarantee to be placed near the original order. If the date or purchase is closer than seven days from the date of the event, tickets may be ordered at regular price at the Sommet Center Box Office or at TicketMaster by dialing 615.255.9600.

How can my group get a pre-event reception or party? We can create a reception or party specifically designed per your specifications and a discount will be given on the rental of the space! Call 615.770.2407 for details on meeting rooms and receptions.

What if I have questions concerning my group outing during the event? If you have any questions or concerns that arise during an event, go to the Guest Service Booth near the Main Entrance of the Sommet Center. The booth attendant will notify a Group Sales Department Member who will promptly help you out.

Where should my group park? Where is bus parking? Paid public parking is located all around the arena. If you would like to coordinate bus parking, please call the Nashville Metro Public Transit Authority at 615.259.3898.

What is the camera and video camera policy? The camera policy varies from event to event. Contact your Group Sales Representative regarding the policy for your event. Absolutely no video recorders are allowed in the building.

Directions to the Sommet Center

1. The Sommet Center is located at the corner of 5th and Broadway. The Main Entrance can be easily found at the corner of 5th and Broadway. The South Entrance of the facility is located at the corner of 5th and Demonbreun. Coming to Sommet Center from West Tennessee on I-40 Follow Nashville signs and exit on Broadway (209B). Turn left on Broadway and Sommet Center will be on your right, between 6th and 5th Avenue.
2. Coming to Sommet Center from East Tennessee on I-40 Follow I-40, take the Memphis fork, exit on Broadway (209A). Turn right on Broadway and Sommet Center will be on your right, between 6th and 5th Avenue.
3. Coming to Sommet Center from the North on I-65 Follow I-65 South to I-40 East. Take the Broadway exit (209B). Turn left on Broadway and Sommet Center will be on your right, between 6th and 5th Avenue.
4. Coming to Sommet Center from the South on I-65 Stay North on I-65 to I-40 West towards Memphis, exit on Broadway (209A). Turn right and Sommet Center will be on your right between 6th and 5th Avenue.
5. Coming to Sommet Center from the East on I-24 Follow I-40 West towards Memphis, Exit on Broadway (209A). Turn right and Sommet Center will be on your right between 6th and 5th Avenue.
6. Coming to Sommet Center from the Northwest on I-24 Follow I-24 East to I-65 South to I-40 East, Exit on Broadway (209B). Turn left on Broadway and Sommet Center will be on your right, between 6th and 5th Avenue.
